Flagged Terms

Flagged terms help you automatically identify important language in RFPs. Set up custom flags to highlight risks, opportunities, or any terminology that matters to your business.

What Are Flagged Terms?

Flagged terms are words or phrases that Cothon automatically highlights when found in uploaded documents. They help you:

  • Spot risks - Liability clauses, penalty terms, unusual requirements
  • Find opportunities - Preferred vendor language, set-asides, evaluation criteria
  • Track compliance - Required certifications, mandatory standards
  • Note key details - Specific technologies, locations, or timeframes

Note

Flagged terms are highlighted in the document viewer and trigger alerts in the analysis summary.

Default Flag Categories

Cothon includes pre-configured flag categories:

Opportunity Terms

Flag language that benefits bidders:

  • "Small business set-aside"
  • "Best value"

  • "Innovation"
  • "Oral presentations"

Compliance Terms

Track required certifications and standards:

  • "ISO 27001"

Tip

Build your flagged terms list over time. After each bid, add terms that you wish you'd noticed earlier.

Managing Flag Lists

Import/Export

Share flagged terms across your organization:

  1. Export: Click Export to download your terms as JSON or CSV
  2. Import: Click Import to add terms from a file
  3. Merge: Choose to add to or replace existing terms

Organization-Wide Terms

Admins can set organization-wide flagged terms:

  • Applied to all team members automatically
  • Can be supplemented with personal terms
  • Updates sync across the organization

Viewing Flagged Terms in Analysis

When reviewing an analysis:

Flags Panel

The right sidebar shows all flagged terms found:

  • Grouped by category
  • Click to jump to location in document
  • Shows count of occurrences

Document Highlighting

In the document viewer:

  • Flagged terms are highlighted in category colors
  • Hover for term details and notes
  • Click to see all occurrences

Summary Alerts

The analysis summary includes:

  • High-priority flags requiring attention
  • Flag count by category
  • Risk assessment based on flags found

Flag-Based Automation

Set up actions triggered by flags:

For critical terms like "unlimited liability," consider setting up immediate notifications to ensure they're never missed.

Best Practices

  1. Start specific, then broaden - Begin with exact phrases, add variations as needed
  2. Review flag effectiveness - Periodically check if flags are catching what matters
  3. Don't over-flag - Too many flags reduces their impact; focus on what's truly important
  4. Document reasoning - Add notes explaining why each term is flagged
  5. Share knowledge - Export and share your flag list with team members
