Link proposal templates, content blocks and your Word cover page from SharePoint or OneDrive so Cothon stays up to date.

SharePoint Sync

If your proposal boilerplate lives in SharePoint or OneDrive, link the files to Cothon. You keep editing them in Word, and Cothon picks up the changes. Nothing has to be updated in two places.

You can link three kinds of files:

WhatFile typesMax sizeWhen a change is picked up
Content block.docx, .md, .txt5 MBApplied automatically
Cover page.docx10 MBApplied automatically
Template.docx, .pdf, .md, .txt25 MBWaits for you to review it

Note

Cothon only reads the files you link. It never creates, changes or deletes anything in Microsoft 365.

Step 1: connect Microsoft 365

An organization owner or admin does this once.

  1. Go to Settings › Integrations › Microsoft 365 (SharePoint and OneDrive).
  2. Click Connect Microsoft 365 and sign in with a Microsoft work account.
  3. If your company requires admin approval, click Get a link for your Microsoft 365 admin and send it to them. After they approve, click Connect again.

Only owners and admins can link files. In Settings › Proposal Templates:

  • Template: click Import from SharePoint, then review the import like any other. See Templates and Content Blocks.
  • Content block: click New block from SharePoint.
  • Cover page: under Document branding › Cover page, click Link from SharePoint.

To find a file, use Paste a link (in Word or SharePoint, use Share › Copy link) or Browse your OneDrive or a SharePoint site.

How syncing works

  • Cothon checks linked files for changes every hour. Click Sync now to check right away.
  • A file that is still being edited is picked up once it has been unchanged for about 15 minutes.
  • Cothon also refreshes linked files before it generates a proposal.
  • A linked block's text is read-only in Cothon. Click Edit in Word to change it.

When a linked template changes, its badge shows Update to review. Open it and choose Apply update, Keep current version or Decide later. The current template stays in use until you apply the update.

Badges and fixes

To stop syncing a file, click Unlink. The current content stays in Cothon and becomes editable there.

Warning

If the connection needs to be renewed (for example after a password or security policy change), an owner or admin clicks Reconnect in Settings › Integrations. Linked content keeps its last synced version until then.
