Best Practices

Save Strategically

Quality over Quantity:

  • Don't save every tender
  • Focus on realistic opportunities
  • Fit score β‰₯ 60% minimum
  • Align with strategic priorities

Save Criteria: Create explicit criteria for what you save: βœ… Fit score β‰₯ 70% βœ… Value within target range βœ… Department in top 10 target list βœ… Timeline allows adequate prep βœ… Team capacity available

❌ Below criteria β†’ No-bid directly, don't save

Update Regularly

Status Updates:

  • Update status promptly when changes occur
  • Don't let opportunities stagnate in status
  • Weekly pipeline review minimum
  • Automated status changes where possible

Notes and Context:

  • Add notes at each stage transition
  • Document bid/no-bid decisions
  • Record lessons learned
  • Capture intelligence for future

Clean Your Pipeline

Regular Cleanup:

  • Monthly: Review and close out old opportunities
  • Move genuinely-no-bid opportunities to No-Bid status (don't delete)
  • Archive won/lost opportunities (retain history, remove from active pipeline)
  • Update fit scores as your capabilities evolve

Archive vs. Delete:

  • Archive: Retain historical data, remove from active views (recommended)
  • Delete: Permanently remove (rarely needed)

Leverage Intelligence

Act on AI Insights:

  • Review fit scores and gap analysis
  • Address capability gaps (hiring, partnering)
  • Use competitor intelligence in strategy
  • Refine saved searches based on what converts

Feedback Loop:

  • Record why you bid or didn't bid
  • Record why you won or lost
  • AI learns from your feedback
  • Improves future fit scoring
