Managing Members
Invite team members to your organization, manage their access, and control what they can do in Cothon.
Inviting Members
Send Invitations
Invitation Details

Tip
Add a personal message explaining why you're inviting them. It increases acceptance rates.
Bulk Invitations
Invite multiple members at once:
- Prepare CSV file with columns: email, role, teams
- Click Bulk Import
- Upload CSV file
- Review and confirm
- Send all invitations
Invitation Status
Track pending invitations:
| Status | Meaning |
|---|---|
| Pending | Invitation sent, not yet accepted |
| Accepted | Member joined organization |
| Expired | Past expiration date |
| Resent | Invitation sent again |
Member Lifecycle
New Member Onboarding
When a member joins:
- They receive welcome email
- Guided setup wizard starts
- Added to assigned teams
- Access granted based on role
Member States
| State | Description |
|---|---|
| Active | Full access, currently active |
| Inactive | Not logged in for 90+ days |
| Suspended | Access temporarily revoked |
| Removed | No longer part of organization |
Managing Existing Members
Viewing Members
- Go to Settings > Organization > Members
- See list of all members with:
- Name and email
- Role
- Teams
- Last active
- Status
Filtering Members
Filter the member list by:
- Role (Admin, Manager, Member)
- Team
- Status (Active, Inactive)
- Join date
- Search by name/email
Member Details
Click a member to see:
- Profile information
- Current teams
- Permission summary
- Activity history
- Shared content
Editing Member Access
Changing Roles
Managing Team Membership
Add or remove from teams:
- Open member details
- Go to Teams section
- Add: Click Add to Team and select team
- Remove: Click X next to team name
Custom Permissions
Override role defaults for specific members:
- Open member details
- Go to Permissions tab
- Toggle specific permissions
- Custom permissions override role defaults
Warning
Custom permissions make auditing harder. Use sparingly and document why.
Suspending Members
When to Suspend
Suspend rather than remove when:
- Leave of absence
- Investigation in progress
- Temporary access restriction
- Contract ended but may return
How to Suspend
- Open member details
- Click Suspend Access
- Provide reason (internal note)
- Set duration (optional)
- Confirm suspension
Suspension Effects
When suspended:
- Cannot log in
- Removed from active sessions
- Retains data and settings
- Can be reinstated easily
Reinstating Members
- Open member details
- Click Reactivate
- Confirm reactivation
- Member can log in again
Removing Members
When to Remove
Remove members when:
- Employment ended
- Contract terminated
- No longer needs access
How to Remove
Content Transfer Options
When removing a member:

|---|---|
| Transfer to Admin | All content goes to you |
| Transfer to Specific | Choose another member |
| Convert to Shared | Content becomes shared |
| Delete | Permanently delete |
Note
We recommend transferring content rather than deleting. You never know when it might be needed.
What Removal Does
- Revokes all access immediately
- Ends all active sessions
- Removes from all teams
- Does NOT delete shared content by default
Member Activity
Activity Tracking
See what members are doing:
- Open member details
- Click Activity tab
- View:
- Recent logins
- Content created/edited
- Analyses completed
- Proposals generated
Exporting Activity
For compliance or review:
- Select member
- Click Export Activity
- Choose date range
- Download CSV
Member Settings

Customize individual settings:

Troubleshooting
Member Can't Log In
- Check member status (not suspended)
- Verify email address correct
- Reset password if needed
- Check 2FA status
- Review security logs
Member Missing Access
- Verify role has required permissions
- Check team membership
- Look for custom permission overrides
- Confirm content is shared with them
Invitation Not Received
- Check spam/junk folder
- Verify email address
- Resend invitation
- Try alternate email
