Cothon makes it easy to collaborate on bid analyses with your team. Share analyses, work together in real-time, and control who can view or edit your work.

Sharing Options

Share with Team Members

Share analyses with people in your organization:

Public Links

Create shareable links for external stakeholders:

1. Click Share > Create Link
2. Set link permissions (View only recommended for external sharing)
3. Optionally set an expiration date
4. Copy and share the link

Permission Levels

Real-Time Collaboration

When multiple people are viewing an analysis:

• Presence indicators show who's currently viewing
• Cursor tracking shows where others are working
• Live updates sync changes instantly
• Conflict resolution handles simultaneous edits

Comments and Discussions

Add comments to specific requirements:

Comment Notifications

Team members receive notifications for:

• New comments on analyses they're part of
• @mentions in any comment
• Replies to their comments
• Comment resolutions

Version History

Track changes over time:

1. Click History in the analysis toolbar
2. See all changes with timestamps and authors
3. Compare any two versions
4. Restore previous versions if needed

Organizing Shared Work

Folders

Organize analyses into folders for easier management:

• Create folders for different opportunities, clients, or time periods
• Share entire folders to give team access to multiple analyses
• Folder permissions cascade to contents

Tags

Add tags for cross-cutting organization:

• Tag by status (In Progress, Under Review, Submitted)
• Tag by team (Capture Team, Proposal Team, SMEs)
• Filter analyses by tag across all folders

Export for External Sharing

When you need to share outside Cothon:

PDF Export

• Full analysis with all requirements and statuses
• Includes compliance summary
• Professional formatting for client presentations

Excel Export

• Spreadsheet format for detailed work
• All requirement data and metadata
• Suitable for compliance matrix work

Word Export

• Editable format for further processing
• Maintains structure and formatting
• Good for proposal incorporation

Revoking Access

To remove someone's access:

1. Open the Share dialog
2. Find the person in the list
3. Click Remove next to their name
4. Confirm removal

For public links:

1. Open Share > Manage Links
2. Click Revoke on the link
3. The link immediately stops working
