Command Palette

Open the command palette () and type:

  • "settings" - Open settings
  • "dark mode" - Toggle theme
  • "notifications" - Notification settings
  • "2fa" - Security settings

Tip

The command palette is the fastest way to access any setting. It searches across all categories and recent changes.

Account Settings

Profile Information

Your profile appears throughout Cothon when you create content, comment, or collaborate.

Updating Your Profile

Profile Photo Guidelines

  • Recommended size: 400x400 pixels
  • Formats: JPG, PNG, or WebP
  • Max file size: 2 MB
  • Gravatar: Automatically used if no custom photo uploaded

Note

Your profile photo helps teammates identify you in comments, activity feeds, and collaboration features.

Email Settings

Your email address is your unique identifier in Cothon.

Primary Email

Your primary email is used for:

  • Login: Sign in to your account
  • Notifications: Receive alerts and updates
  • Password recovery: Reset your password
  • Important announcements: Security and billing updates

Changing Your Email

Warning

You'll receive a security notification at your old email when changing your primary email address.

Secondary Emails

Add secondary emails to:

  • Receive invitations sent to multiple addresses
  • Use alternative login methods
  • Backup account recovery options

Password Management

Strong passwords protect your account and your organization's data.

Password Requirements

Your password must include:

  • Minimum 12 characters (16+ recommended)
  • At least one uppercase letter (A-Z)
  • At least one lowercase letter (a-z)
  • At least one number (0-9)
  • At least one special character (!@#$%^&*)
  • Cannot reuse last 5 passwords
  • Cannot contain your email or name

Changing Your Password

Password Best Practices

  • Use a password manager: Generate and store unique passwords (1Password, Bitwarden, LastPass)
  • Enable 2FA: Add two-factor authentication for extra security
  • Don't share passwords: Even with trusted colleagues
  • Change if compromised: Update immediately if you suspect exposure
  • Unique per service: Never reuse passwords across sites

Tip

Consider using a passphrase: a string of random words like "correct-horse-battery-staple" is easier to remember and more secure than complex passwords.

Password Recovery

If you forget your password:

  1. Click Forgot Password on the login page
  2. Enter your email address
  3. Check email for reset link (expires in 1 hour)
  4. Create a new password
  5. Log in with new credentials

Recovery links expire after one use or one hour, whichever comes first.

Data Management

Export Your Data

Download a complete copy of your data for backup, migration, or compliance purposes.

What's Included in Exports

Your export includes:

  • Analyses: All bid analyses with requirements, matches, and scores
  • Proposals: Generated proposals in original format
  • Saved opportunities: Your opportunity pipeline and filters
  • Documents: Uploaded files and generated content
  • Settings: Your configuration and preferences
  • Activity history: Your actions and interactions
  • Comments: Your comments and annotations
  • Templates: Custom templates you've created
  • Capability profiles: Your company capabilities

Exporting Your Data

Note

Exports include all your personal data. For organization-wide exports, see Organization Settings.

Export Retention

  • Download link: Valid for 7 days
  • Storage: Not stored permanently on servers
  • Regeneration: Can request new export anytime
  • Size limits: Individual exports up to 5 GB

Delete Account

Permanently delete your Cothon account and all associated data.

Warning

Account deletion is permanent and cannot be undone. All your data will be permanently deleted within 30 days.

What Happens When You Delete

  • Immediate: Account deactivated, cannot log in
  • 7 days: Grace period where you can cancel deletion
  • 30 days: Complete data deletion from all systems
  • Shared content: Transferred to organization or deleted per your choice
  • Team content: Remains with organization if you contributed to shared projects

Before You Delete

  1. Export your data: Download a copy of your work
  2. Transfer ownership: Reassign any content you own
  3. Inform your team: Let colleagues know you're leaving
  4. Cancel subscriptions: If you're a billing admin
  5. Remove integrations: Disconnect connected services

Deleting Your Account

Canceling Deletion

During the 7-day grace period:

  1. Click the link in your deletion confirmation email
  2. Or log in and go to Settings > Account
  3. Click Cancel Account Deletion
  4. Your account will be fully restored

Note

Organization-owned content (shared analyses, team proposals) is not deleted when you leave. It's transferred to organization ownership.

Syncing Settings

Cothon automatically syncs most settings across devices when you're logged in.

What Syncs

Settings that sync across all your devices:

  • Theme preferences (light/dark mode)
  • Notification settings
  • AI configurations and preferences
  • Keyboard shortcuts (custom)
  • Default view modes
  • Language and timezone
  • Strategic priorities
  • Filter presets
  • Saved searches

Device-Specific Settings

Some settings are unique to each device:

  • Window size and position
  • Panel collapse states
  • Sidebar width
  • Zoom level
  • Recent files list
  • Open tabs/documents
  • Scroll positions

Note

Device-specific settings provide a tailored experience on each device while maintaining consistent core preferences.

Sync Status

Check sync status in Settings > Account > Sync:

  • Last synced: Timestamp of most recent sync
  • Sync status: Active, pending, or error
  • Sync conflicts: If different values exist across devices

Manual Sync

Force an immediate sync:

  1. Go to Settings > Account > Sync
  2. Click Sync Now
  3. All settings update to latest values

Resolving Conflicts

If settings conflict across devices:

  1. Go to Settings > Account > Sync
  2. View conflicting settings
  3. Choose which version to keep:
    • This device: Use local settings
    • Server: Use synced settings
    • Manual: Choose per setting
  4. Click Resolve Conflicts

Restoring Defaults

Reset settings to factory defaults when needed.

Warning

Resetting all settings does not delete your data (analyses, proposals, etc.). It only restores configuration defaults.

What Resets

When you reset settings:

  • Included: All preferences, UI configuration, defaults
  • Excluded: Your data, account info, integrations
  • Preserved: Organization settings (if you're an admin)

Post-Reset Actions

After resetting:

  1. Re-enable 2FA: Security settings are reset
  2. Reconfigure AI: Set your preferred models again
  3. Reconnect integrations: OAuth tokens are preserved but may need re-auth
  4. Customize appearance: Theme returns to default
  5. Set notifications: All notification preferences reset

Settings Best Practices

Regular Maintenance

  • Monthly: Review notification settings and adjust as needed
  • Quarterly: Audit security settings and active sessions
  • Annually: Export your data for backup
  • As needed: Update profile information when role changes

Performance Optimization

Optimize Cothon's performance through settings:

  • Reduce animations: Settings > Appearance > Animations > Reduced
  • Limit concurrent AI: Settings > AI > Performance > Lower concurrent ops
  • Disable unused features: Settings > Advanced > Feature flags
  • Clear cache regularly: Settings > Advanced > Clear cache

Collaboration Tips

Configure settings for better teamwork:

  • Enable presence: Show when you're online
